4. Contact forms, applications & database storage

When you submit an application or message on RTT:

• Database Storage: Submissions are securely stored in our encrypted MySQL admissions database (leads table) to ensure your application is never lost due to email deliverability issues.
• Unique Reference ID: Each application is assigned a unique reference code (e.g., RTT-2026-XXXXXX) stored alongside your submission.
• IP Address & Rate Limiting: We log raw client IP addresses and user agent strings to enforce rate limiting (maximum 10 submissions per 10-minute window) and prevent denial-of-service or spam abuse.
• Notifications: An automated confirmation is emailed to you (if an email address was provided), and our admissions team is notified via secure SMTP to follow up via WhatsApp within 24 hours.

5. How we use your data

We use your information exclusively to:

• Evaluate admission eligibility and assign seats in your preferred batch (Girls batch, Boys batch, or Weekend working batch).
• Contact you via WhatsApp or phone to answer questions, explain curricula, and complete enrollment.
• Verify internship eligibility with Razinio Technologies upon graduation.
• Optimize website performance and measure marketing campaign outcomes.

We do not sell, rent, or trade your personal data to any external commercial marketing lists.

7. Data retention periods

We retain personal information only as long as required for legitimate academic and administrative purposes:

• Student Leads & Applications: Retained in our database for up to 2 years from submission to maintain academic admission records, honor waitlist reservations, and verify graduate credentials.
• Server & Security Logs: IP address connection logs are retained for 90 days before automatic rotation.
• Inquiries: General inquiries from applicants who do not enroll are permanently deleted or anonymized upon request.

8. Protection of minors & student data

RTT provides tech training programs open to students who have completed Matriculation (typically ages 14–17). When applicants under the age of 18 apply:

• We collect academic and contact details solely to coordinate course enrollment and batch scheduling.
• Communications regarding admission fees and batch scheduling are conducted transparently with applicant and parental/guardian awareness.
• We never create behavioral advertising profiles on minors or share their details with third-party advertising brokers.

9. Your rights

You have the right to request access to the personal data we hold about you, request corrections to any inaccuracies, or request the complete deletion of your application record from our database. To exercise these rights, message us on WhatsApp or email our data team.

All communication between your browser and RTT is encrypted using modern TLS (HTTPS). Database access is restricted to authorized administrative personnel through authenticated, role-based controls.
